WikiMapping – Privacy Notice
Effective date: July 26, 2025
1) Summary
We run a mapping platform for planners to collect location-specific input. We limit the data we collect, give project owners control, and support open exports. This notice explains what we collect, how we use it, and your choices.
2) Data we collect
- Account data: name, email, password hash, role. (Used for login and permissions.)
- Session data: login state, role, and a guest token for anonymous visitors so they can add input without an account.
- Project & content data: categories, features, comments, uploads, banners, and settings you configure. Admins can set a project to public or private and can add/remove collaborators.
- Announcements & replies posted inside the app’s admin area.
- Usage events: basic app diagnostics and feature usage necessary to operate the Service.
- Third-party tokens you optionally provide (e.g., Mapbox) to deliver tiles under your provider account.
3) How we use data
- Operate the Service, show your maps, and manage permissions.
- Provide support and notify you of updates (e.g., admin announcements).
- Secure sessions, handle login, password resets, and account recovery.
- Respect your public/private settings and allow open viewing when you toggle “public.”
4) Sharing
- Within your organization: collaborators you authorize may access and edit projects you share with them. /li>
- Public projects: anyone with the link can view a public project. [
- Vendors: we may connect to providers you choose (e.g., Mapbox). If you supply your own provider keys, those calls are billed to and governed by your provider accounts.
- Legal: we may disclose data to comply with valid law or court orders.
5) Security
We use session protections, HTTPS, and reasonable technical measures. Your password is stored as a hash; access is role-based.
6) Retention
We retain data for the time needed to operate your projects and comply with law. When a project is deleted, we disable access and process removal tasks; some items (e.g., surveys detached from a deleted project) may persist if you chose to retain them.
7) Your choices
- Project visibility: toggle public/private per project.
- Collaborators: add/remove permissions for specific users; users may also unsubscribe themselves from shared projects.
- Third-party usage: use your own Mapbox or other provider keys to keep usage and billing within your accounts.
8) Public-records (FOIA/RTK)
WikiMapping is a private vendor and not a public records custodian. We do not process third-party Right-to-Know or FOIA requests. Such requests should be made to the agency that owns the project. We assist the project owner with exports upon an authorized admin’s request.
9) Children
The Service is not directed to children under 16.
